Who this covers
This Privacy Policy explains what information TrackRecord collects, how we use it and the choices you have. It covers trackrecordagents.com, the TrackRecord app and scoreboard, and related services (the “Service”). It works together with our Terms of Service. TrackRecord is operated by Drew Cunningham in Owensboro, Kentucky.
If you use TrackRecord through your agency, your agency (the “Agency”) controls the data it puts in. We process that data on the Agency’s behalf to run the Service.
What we collect
Information you or your Agency give us
- Account details: name, username, email address (if provided), role, and a password. Passwords are stored only as a salted hash, never in plain text.
- Agency Data: the work information your Agency enters or imports, such as sales entries (lines of business, counts and premium), daily activity (calls, quotes, appointments and similar), goals, team rosters, commission plan settings, time-off and time-correction requests, and notes.
- Messages to us: what you send when you book a call, use the get-started form (which opens in your own email app) or email us.
Information collected automatically
- Session cookie. When you log in we set a single, secure, HTTP-only cookie that keeps you signed in. We don’t use advertising cookies, and we don’t run third-party analytics or ad trackers on the site.
- Basic server logs. Our hosting provider may record technical details such as IP address, browser type and request time for security and reliability.
What we don’t want
TrackRecord isn’t meant to hold Social Security numbers, payment card or bank numbers, driver’s license numbers or health information. Please don’t enter them.
How we use it
- To provide the Service: show dashboards and scoreboards, calculate goals and commission figures, and keep your team’s data in sync.
- To log you in, keep accounts secure and prevent misuse.
- To send account emails such as invitations, password resets and security notices.
- To provide support, fix problems and improve the product.
- To feature your Agency on the optional network leaderboard, only if your Agency has turned that on (see below).
- To meet legal obligations and enforce our Terms.
We do not sell personal information, and we do not use Agency Data to advertise to you or anyone else.
Who we share it with
We share information only with the service providers that help us run TrackRecord, under terms that limit how they use it:
- Vercel: hosts the website and app.
- Upstash: stores Agency Data in a managed database.
- Anthropic: powers the AI Coach. If you use it, the content you send to it (for example performance figures and your questions) is sent to Anthropic to generate a reply.
- Resend: delivers account emails such as invitations and password resets.
We may also disclose information if required by law or legal process, to protect the rights, safety or security of our users or the Service, or in connection with a sale or transfer of the business (in which case we will tell you and the same protections will continue to apply).
Inside your Agency
People in your Agency see what their role allows. Managers can see their team’s production and activity, and may be able to see commission and goal settings. Agency Data is kept separate from other agencies’ data.
Network leaderboard
If your Agency opts in to the optional cross-agency leaderboard, limited figures (for example an agency name and aggregate production totals) are shown to other participating agencies. Nothing is shared there unless your Agency turns it on, and it can be turned off again.
Security
Data is encrypted in transit (HTTPS). Logins use hashed passwords and a secure session cookie, invitation and reset links are single-use and expire, and each Agency’s data is stored under its own key. No system is perfectly secure, so we can’t guarantee absolute security. If we learn of a breach that affects your information, we will notify the affected Agency as required by law.
How long we keep it
We keep Agency Data and account details while your Agency has an active account. After cancellation we keep your data for at least 30 days so you can export it, then delete it from active systems on request or within a reasonable time after that. Backups and logs may take a little longer to clear. We may keep limited records when needed for legal, tax, security or dispute purposes.
Your choices and rights
- Access, correction and deletion. Managers can edit most Agency Data and logins in the app. To request a copy, a correction or deletion of your information, email dcunningham1068@gmail.com. If you’re a team member, we may direct you to your Agency’s manager, since the Agency controls its data.
- Emails. Account emails are part of the Service. We don’t send marketing email to Users without a separate request or consent, and you can ask us to stop at any time.
- Cookies. You can clear or block cookies in your browser, but you won’t be able to stay logged in.
- State privacy rights. Depending on where you live (including under Kentucky and other state privacy laws), you may have rights to know, access, correct, delete or obtain a copy of your personal data and to opt out of its sale or targeted advertising. We don’t sell personal data or use it for targeted advertising. To use a right, email us. We may need to verify who you are first, and you may appeal a decision by replying to our response.
Children
The Service is for business use by adults. We don’t knowingly collect information from anyone under 18. If you believe we have, contact us and we will delete it.
Where data is stored
We and our providers operate in the United States, so your information may be processed and stored there. By using the Service you understand that your information will be handled in the United States.
Changes to this policy
We may update this policy as the Service changes. We will post the new version here with a new date, and for material changes we will email your Agency’s manager or show a notice in the app.
